What We Need From You For Templating
Sample Invoices - 15 or more per template request.
- This will ensure that we can account for edge cases in the invoices
- Invoices should have a similar overall look and feel
- Invoice dates can vary greatly - they just need to be the same base setup
- Invoices should be already paid or vouchered to create the template
- Send invoice examples that include all the special information you need:
- Examples include: freight, hazmat charges, taxes…
- It’s ok if these do not appear on all invoices, we need a couple examples to capture the
variations between invoices - Let us know if any of the fields need to connect to a GL Code
Submitting Your Request
- Email each template request separately (one supplier/request per email) with the details below:
- Send to support@sourceday.com email
- Subject: New IA Supplier Request - <Your Company Name> | <Supplier Company Name>
- Include all sample invoices (15-20) - there should be examples for all of the “special” scenarios, the special scenarios do not have to be on every invoice
- In the body of the message please include:
- The key information you need captured (freight, hazmat charges, taxes,
deposits…) - Number of expected invoices/month
- Verify the vendor id(s) that will use this template

What To Expect from Us
- A tracking ticket number to contain all communication start to finish for each template request
- Estimated date of completion for your template
- Testing of OCR tools to determine the best fit for your invoices
- Thoughtful templating of invoices - including the special information you indicated
- Proactive communication of any templating challenges on the tracking ticket
- Confirmation once the template is completed and ready for use
Important Details
- Don’t have 15 invoices from a supplier? Let us know and we can develop a plan.
- If you are a new customer: As part of your go live strategy we will complete 30 templates for
you. If we do not receive 30 template requests from you we will template what we do receive.
Remaining templates will be completed on a monthly schedule until all templates are completed. - Building a successful template is a complex and thorough process and can take several weeks
based on the template’s complexity and response to our OCR tools. If requests are received late
or just prior to launch, you may not receive all templates by launch date.
