Exciting Updates to SourceDay Supplier Management
We’re introducing a powerful enhancement that will streamline how you manage your supplier relationships. With this update, you’ll have one centralized hub to oversee supplier settings, users, risks, and performance - simplifying your workflow and improving visibility.
Here’s what’s coming with this launch:
- Automatic Supplier Onboarding: When a new email or supplier is detected, SourceDay will automatically invite them, ensuring new suppliers receive orders seamlessly. This feature saves time, eliminates manual onboarding, and keeps your ERP data accurate.
- A Unified Supplier Management: All your supplier management tasks in one convenient location. Learn more about supplier settings here.
- Supplier Risk Management: Identify risks early with recommended actions and resolution pathways to mitigate issues effectively.
- New Supplier Scorecard Settings: One page for specific supplier settings with clear explanations of each setting.
The features of the Manage ERP vendors page will be shifting to the new Default Supplier Settings.

Default supplier settings
These settings will be applied to all your suppliers and will be applied to any new suppliers onboarded. Changes made to individual supplier settings will override defaults set here.
Auto-invite suppliers
During your SourceDay launch period our teams will work closely with you transitioning suppliers to SourceDay. Enabling auto-invite ensures that your SourceDay supplier network remains in sync with new or infrequent suppliers. When a PO is created for a supplier not currently enabled for SourceDay, they will receive an invitation and training email along side the email for the new PO. You can exclude non-direct suppliers by including an exclusion reason on the Suppliers page.
Additionally if you can include a customized welcome link for your suppliers. To get started contact support with the ticket subject "Supplier welcome page"
PO access
How should suppliers interact with POs in SourceDay? Ideally suppliers will need to see PO PDFs and be able to collaborate from email.
Click to disable printing of PO PDFs (mst supplier companies download and print a copy to share with fulfillment teams).
Click to disable suppliers from using email workflow - disabling this option forces suppliers to login and use the PO Dashboard instead of the single PO page.
Supplier scorecard access
Coming Soon: This setting allows your suppliers to view their individual scorecards.
Orders due soon reminders
When orders fall within your default range the order line will be added to the suppliers Due soon view and will trigger reminder emails. This helps the supplier to prepare orders to ship out on time to meet their due or ship date. You'll notice that the default radar range is auto-filled here for each supplier based on the default value set in API Settings. Once you adjust the range here this will become the range for that supplier - even if you adjust the default range for other suppliers.
Click to require suppliers to confirm order lines once they enter this range. This will require a response from the supplier. Once the supplier confirms the order the tabbed based notifications or reminder emails on this order line will stop.
This is based on the date of collaboration so for most suppliers this will be either a due date or a ship date.
Shipments workflow
Allow Shipments
Some clients want the ability to enable or disable suppliers from marking orders as shipped within SourceDay. Orders would flow from Pending to Radar to Late and only move to a Complete status when the buyer updates their ERP with receipt data.
Ready to Ship
Is this a ready to ship supplier? This would be an instance where the buyer is responsible for shipment from the supplier.
Enable adjusted Due Date (dependent on integration settings)
This is a setting that is set as part of your integration allowing your supplier to enter the shipping date for the due date instead of the date that the item should appear at your warehouse. When enabled, buyers will review the ship date added or confirmed by the supplier and have the opportunity to adjust the due date based on these details. Changing the value will change how due dates are managed with your suppliers.

Manage ERP Vendors
The Manage ERP Vendors page gives Admins (and delegated users) the ability to enable Suppliers for SourceDay and customize their experience. Here buyer admins can grant suppliers access to PO Email Delivery - allowing suppliers to collaborate on POs without logging in to SourceDay and without creating a SourceDay Account.
Additionally Admins can customize the supplier’s coming due range and confirmation, adjusted due date, ready to ship flow and more. If you have ever wanted an easy way to export a csv/excel file of all of your Vendors listed within your ERP, this is a great place for you.
Admin users are the only buyer users with access to this page. Please email us at support@sourceday.com to grant additional buyers access to manage this page.
This section is primarily used by SourceDay when onboarding suppliers. Changes made to this can adversely affect your suppliers, please bring in support or your Customer Success Manager (CSM) if you are unsure of any items on these pages.
To navigate to Manage ERP Vendors
Click on your name dropdown in the upper right-hand corner & select Account Settings. Select the Manage ERP Vendors option on the left side of the screen.

Basic Actions: Filter ERP Vendors
This page lists your ERP Vendors and has the ability for you to:
Filter Suppliers - Supplier can be filtered by a variety of preset conditions.
All Vendors - vendors as listed within your ERP Risks - vendors with a PO delivery risk (email issue, new email, uninvited supplier) Coming Soon! SourceDay - vendors receiving POs from SourceDay Non-SourceDay - vendors that are not receiving POs from SourceDay Enabled - buyers can view POs on SourceDay Suggested - vendors that have not been activated for your buyer company and the email address listed in within your ERP actively using SourceDay with another buyer company Ready to Invite - vendors with a valid email address |
Search - Type in a supplier company name, contact name or email into the search box to quickly find a specific supplier.
Sync ERP - Run a one-time manual sync to pull updated ERP supplier details.
Export - Download a csv report of SourceDay supplier information (as listed on this page).
Import supplier users - Add supplier users in bulk via importing a csv or excel file. Learn more here.
Manage Suppliers
Key vendor details are pulled directly from your ERP, this includes: ERP Vendor ID, ERP Instance, Name, Contact, & Email. Admins customize the remaining details including key components of the supplier experience.
Add or Remove Users - Manually
To add supplier users in bulk via imports click here.
The email address displayed is the primary contact as listed within your ERP. Admins can add new users in bulk by clicking on the open box on the left side of each vendor line. Then click on the “Manage users” box in the top right corner.
Admins can also review current users and add or remove users for one company by clicking on the number in the Users column. This opens a window listing the individual users and email address for that vendor company. Then select the “Manage user” box on the lower right as pictured below. |
Clicking on the Manage users buttons opens a Verify emails window. Admins can delete an email address by clicking on the trash icon and/or add an email address with the plus icon. Just type the new address in the open text box and click on Continue in the top right.
Possible Errors:
- "Please enter a valid email address" - Email address invalid
- "Duplicate user emails for the same ERP Vendor are not allowed" - Please ensure that you have not added duplicate emails for the same ERP Vendor
- "Multiple vendor users must belong to the same company" - Reach out to SourceDay support as your supplier might already be created in our system under a different alias
Verify and submit. New users will receive an email from SourceDay welcoming them to create an account or use an email workflow. The default settings can be viewed here as well. Admins can customize those settings from the vendor table. Click on Send emails to complete.
When suppliers are invited to SourceDay, the date will autofill in the Invited Date column on the Vendor Table. If the supplier creates a login for their SourceDay Account the date will be entered in the Platform Verified Date column.
Customize Suppliers SourceDay Experience
Admins have the ability to customize the supplier company's experience with SourceDay by adjusting their access levels, Orders due soon range & workflow, ship date collaboration, and shipments.
Enable SourceDay Access
Vendors must have a valid email address in order to grant access to SourceDay. To grant access simply click to enable. Once enabled a welcome email is sent to the email(s) listed and date is entered in the Invite Date column. Additionally, the Auto-Notify Suppliers & PO PDF Access are enabled.
- SourceDay Access - enables the supplier company to receive POs via email.
- No-Login Access - enables users to collaborate on POs without creating an account or logging in to their account. This will auto check with SourceDay Access.
- PO PDF Access - users associated with this vendor will be able to download a pdf of the PO.
- Scorecard Access - enables supplier users to view their SourceDay Scorecard.
Exclusion Reason
Your ERP Vendor List contains all the vendors stored with your ERP - regardless if they are used for direct manufacturing or not. To exclude a supplier from 100% PO delivery uncheck the SourceDay Access and select a reason from the drop down menu. This lets your team know that that Vendor won’t be receiving POs automatically from SourceDay.
Orders due soon (Radar)
Click the dropdown menu to select a specific range for POs to automatically display in the suppliers Coming due view. This helps the supplier to prepare orders to ship out on time to meet their due or ship date. You'll notice that the default radar range is auto-filled here for each supplier based on the default value set in API Settings. Once you adjust the range here this will become the range for that supplier - even if you adjust the default range for other suppliers.
Orders due soon (Radar) Confirmation
When this is enable, POs lines coming due will display similarly as buyer proposed changes for the supplier and require a response. Once the supplier confirms the order the tabbed based notifications or reminder emails on this order line will stop.
Adjusted Due Date (dependent on integration settings)
This setting depends on your ERP and integration details. Adjusted due date allows you and the supplier to collaborate on ship date instead of the due date (or date that the item should appear at your warehouse). When enabled, buyers have the opportunity to adjust the due date based on supplier proposed shipping details.
Allow Shipments
Enables your supplier to provide you with shipping details as established during your integration. Some clients may want the ability to enable or disable suppliers from marking orders as shipped within SourceDay. Orders would flow from Pending to Due soon to Late and only move to a Complete status when the buyer updates their ERP with receipt data.
Ready to Ship
Is this a ready to ship supplier? This would be an instance where the buyer is responsible for shipment from the supplier.
Enabled
Buyers are able to view this suppliers POs within SourceDay.
