You can build robust filters of POs with multiple criteria. This advanced filter incorporates the Company, & Updates Type filters into one comprehensive filter. Every filter is exportable and savable, allowing users to create and reuse specific filters.
Customizable PO views: The savable filters gives each user the ability to create customized views of your POs tailored to your specific needs. We’ve moved the tabs to the left navigation and given you greater insight in to the lifecycle of your POs and POs that need attention. You’ll still have the views you are used to, like Pending or Shipped with the default views. For example, POs that would land in your updates tab will be organized into: risks, messages, and awaiting response. With the left-side navigation you can gain better risk management and insights with views that align perfectly with your workflow.
How to build filters
From any view, click on the Filters button to open the filter menu and select from the Quick Filter buttons at the top or build your own. This article will review the following: (click to jump to that section).

Quick Filters
Quick filter buttons enable you to easily build a filter based on several preloaded filters. You can add as many quick filters as needed and adjust the quick filter once applied.
Click on the name to jump to that section.
Risk type
Filter to POs with specific risk to on-time delivery. Those risks include: changes made to the PO or proposed changes from the buyer to the cost, quantity, date, cancellation, rejected changes from the buyer, confirmation requests, and email delivery issues.
Awaiting response
POs with changes that you initiated can be located using this filter. You can look for exactly the type of changes you proposed (date, qty, costs, cancelation or confirmation) and for any unread messages you've sent to the buyer.
Company
Select the company's from the drop down menu to see only POs from that specific company.
Buyer
Select from the dropdown menu to see orders in specific buyers names.
Order status
Order status is determined by the type of action taken or awaiting an order and by the status within the ERP.
Planned - the order is in a preliminary status, depending on the buyer company you may be able to begin collaborating on orders in a planned status.
Pending - awaiting the suppliers confirmation they have received the order.
Acknowledged - supplier has confirmed receipt of the order.
On time - order line has been confirmed by the supplier and has no exceptions.
Canceled - order line has been canceled. Proposed cancellations will be listed as a risk.
Shipped - supplier has marked the order as shipped in full by creating an Advanced Shipping Notice within SourceDay.
Filled - buyer company has marked the order as received in full within their ERP.
Completed - the buyer company has marked the order as completed within their ERP.
Approval confirmed - the approval has been rejected (either within SourceDay or the ERP depending on the approval workflow as established during implementation period).
Approval rejected - the approval has been rejected within the buyer company’s ERP.
Awaiting approval - PO is awaiting approval within the buyer company’s ERP.
Late - order is one day past the date (due date, promise date, or vendor commit as determined by the Admin with the buyer company).
Pending approval in ERP - PO lines is in an unapproved state within the ERP *only for buyer companies with approval workflow as established during their implementation period.
Projected late - the listed date on the order may conflict with a move out exception or proposed change on the order line.
Propose cancel - buyer or supplier has proposed a cancelation on the other line that is under review.
Due date
This quick filter allows you to select the time range criteria and either the specific dates or the number of days from today. The same filter options are available for promise date and vendor commit.
Recommended filters to create your views
There are few recommended filters that will help you get started on PO Collaboration.
Hot filter
- Start in the All open view & click on filters
- Within the filter window click on “+ Add another filter” (leave the risk type as is or adjust as needed)
- Scroll to select Hot from the drop down menu (leave toggle to on)
- Click View results
- To save click on “Save as new view” button in the top right corner.
Awaiting response
This filter is a nice way to keep track of POs lines in which you or your buyer team have created change proposals.
- Start from any view you would like to filter to show only your POs or POs in a specific buyer’s name.
- Open the filter window and adjust the currently applied filters or leave as is
- Add a new filter and select Awaiting response from the Quick Filters
- Then select the exact type of response you are waiting for from the supplier using the drop down menu and click View results.
- To save click on “Save as new view” button in the top right corner.
The example below applies a company filter and Awaiting response for supplier proposed changes to the date, quantity, and/or cost.
Specific POs
Using the advanced filter you can filter for a specific set of POs and save as a customized view to return to later.
1. Start from the All open view
2. Select PO from the drop down menu then enter the PO number (partially or in full)
3. Optional: add additional filters as needed such as status or company to narrow your results like the example below.
