1) Filters
Filters will help you to make this report work for your business. By changing timeframes you can see how seasonality affects your costs across suppliers. The % threshold will help you focus on the suppliers that are outside of the guidelines of what is acceptable for your company.
Available filters:
- Company Name - This value will default to your main company name. If you have more than one company in SourceDay linked together you can choose to show data for one company or multiple companies in your data
- Site - If your company uses sites to distinguish segments of the company in SourceDay, you can use this filter to show data for one or many of the sites
- Supplier Name - This filter is a valuable tool that will let you see supplier performance across all suppliers, one supplier, or maybe even a group of suppliers that sell the same types of parts
- Buyer Name - This filter allows you to see information for one buyer, all buyers, or a grouping of buyers
- Job - This filter allows you to segment based on specific job numbers that you are using with your suppliers. If you are using a custom job num field you will not be able to filter on that value
- Item Timeframe - This is the timeframe that you will use for your dashboard. It is the amount of days this report looks at in order to determine the average PO costs. This report can be run for 90, 180, and 364 days.
-
e.g. If this is set to 90 days, this will compare the last 90 days to the PREVIOUS 90 days (days 1-90 vs. days 91-180)
-
- % Increase Threshold - You can enter whatever threshold works for your company. This is really, how much the price can go up or down for it to be considered a cost increase / cost decrease.
- e.g. : If this is set to 2%, anything that increased by 2% or decreased by -2% will show as REMAINED THE SAME in the cost increase bar
2) Overall Impact %
This is the percentage change in average item costs when comparing the time period that was chosen for your time range filter. It is the calculated percentage impact of cost increases and decreases for your company. This number will help you to understand how cost overages or decreases are affecting your bottom line.
3) Overall Impact $
This is the total dollar value (USD) in average item costs when comparing the time period that was chosen for your time range filter. While it's good to be able to see percentage change, sometimes seeing the actual dollar amount can help to drive the necessary changes needed to drive change. This number will help you to understand how these increases and decrease are affecting your bottom line and your ability to run your business while staying within budget.
4) % Increases
This is the percentage of items that showed and increase in the time period set by the filter. This can help you to understand and anticipate how cost changes are impacting your business. The more items being hit with cost increases can drive significant changes in how you are able to run your business.
5) Visual Drilldown for Costs
In this section you can see:
- Costs That Increased - The number of items that showed an average increase (considering threshold value) when comparing periods
- Costs That Stayed the Same - The number of items that stayed the same (considering threshold value) when comparing periods
- Costs That Decreased - The number of items that showed an average decrease (considering threshold value) when comparing periods
The number to the right is the number of items that fell into this category. By clicking on the bar you can see the actual items and suppliers that made up the section.
From this view you can see:
- - Cost Impact - What did the increases in cost cost you?
- - Costs That Increased - Number of items from the supplier with a cost increase
- - Percentage of Costs That Went Up - Percentage of spend increase across supplier spend
6) Item Detail Comparison
The bottom section allows you to see where you have potential for savings. It is based off of part number and will show you:
- The item number - What is the item that was ordered
- The item description - How do you describe your parts
- The supplier's name - Who did you purchase from
- PO cost before the report timeframe - Average cost of the item on purchase order lines in SourceDay with matching Item Name, during the baseline timeframe (based on the Item Timeframe filter).
- PO cost after the report timeframe - Average cost of the item on purchase order lines in SourceDay with matching Item Name, during the period specified in the Item Timeframe filter.
- Cost Variance - The difference between the above 2 averages
- Sum of quantity ordered - Sum of all quantities from associated purchase orders of that item during the timeframe selected
- Estimated cost impact - The total increase/decrease in dollars paid for that item during the period specified in the Item Timeframe filter.
From this report you can see and compare your suppliers and see if there is potential for savings by looking at other trusted relationships that may sell the same parts.
