What Are We Trying to Accomplish?
*Changes are coming. Keep reading for sneak peak of Invoice Automation updates at the end of this article.
For invoices where SourceDay was unable to locate the specific Purchase Order based on the PO Number listed on the invoice, the Pick PO action allows Accountant users to choose the correct line(s) or release(s) on an available Purchase Order.
Here, using the part number(s) listed on the invoice, our system identifies all open Purchase Order lines in which the same part number is present. These available PO lines are presented, allowing users to match the invoice by selecting from a list of available POs.
Additionally, you can also select the Transform to Non-PO action to push the invoice that was captured to the Non-PO Invoice Workflow. If you are interested in seeing if this functionality is available for your ERP, please reach out to support@sourceday.com.
How Do I Do It?
1) Click the blue lightning bolt dropdown on the invoice line
2) Select Pick PO
3) Here you will see the invoice line(s) and PO line(s) where there's a match with either the Part Number, Vendor Part Number or Manufacturing Part #. You may see multiple PO numbers in the Purchase Order Lines section of the pop-up window (the right hand side).
To manually match the invoice(s) line to PO line(s), select Line Item in the Line Type drop down and select the appropriate purchase order line to Match to drop down
4) Click the Submit & Reprocess button; the invoice will move back to the Pending Processing tab for review / matching
5) If you need to push the invoice into the Non-PO Workflow, select the orange Transform to Non-PO Invoice button
**Note: Pick PO is changing. Coming soon this action will be merged with the Pick Line Action.
