Emails from SourceDay
You will receive emails to help keep you on top of new, late, and updated orders. These emails will contain basic details about the PO line(s) affected letting you know that action is needed.
- Replying to the emails will NOT send a message back to your buyer
- Emails are sent to let you know an action is needed in SourceDay
Using Tasks to See Orders that Need to be Addressed
Tasks is an easy way to quickly see POs that need your attention. This view separates POs by the task or action that needs to be completed:
- Acknowledge new orders (Pending)
- Messages that need attention (Messages)
- Respond to buyer changes (Updates)
- Update late or coming due orders (Late & Radar) with date changes or shipping details
How to Update Orders When Changes Happen
Changes happen, based on our data, we see that PO lines change at least 52% of the time. In order to help manage the back and forth, there are 2 ways that you will see updates:
- You propose an update for your buyer to confirm
- The buyer initiates an update for you to confirm
Supplier Proposed Updates
You can easily initiate changes to order lines after you’ve acknowledged them from the Open tab with the “Updates” action. This will send an email to the buyer for them to review your proposed change. While the order line is awaiting approval, it will move to your awaiting response tab.
Buyer Proposed Updates
When a buyer initiates a change to a PO Line you will receive an email. This email will request that you update the order line. The PO line will also move to your updates tab in tasks and in the PO dashboard. You will need to log into SourceDay to either accept the change or propose different values that you can accommodate.
One of the most important pieces of information for your buyer is how to know once their order has shipped. Within SourceDay you can ship a single PO line as a stand alone shipment, or send multiple PO lines in one shipment. Once you have shipped an item it will move to:
- The Shipments Tab - View is similar columns as are used for all PO dashboard views
- The Shipments Dashboard - Dashboard shows shipping specific columns like ASN, carrier, tracking number, shipping labels and packaging labels
Shipping an Item
Shipping an item is typically done from the all open, radar or late tabs. When shipping, you can ship line by line or in bulk under 1 ASN. Depending on your buyer, you may be asked for information about the carrier or tracking number - these are buyer specific settings. At a SourceDay level you will always need to be able to provide the quantity of boxes being shipped and the number of items in each of the boxes.
Viewing the Shipping Information
Once an order has been shipped, you can see information about the order on the Shipments dashboard. This is also where you would go in case you need to edit or unship an item. This dashboard will contain your ASN information as well as the packing slip and shipping label. It is meant to be a dashboard of all of your shipped, unshipped and completed shipments.
