What's in this Section
We will walk you through each of these items:
1. How to manage columns, and why
2. How to acknowledge a new order
3. How to see an update from your buyer, and how to act on it
4. How to ship an order
5. How to print POs
How to Manage Columns, and Why
The PO dashboard is made up of the most commonly used columns. If your buyer uses specialized columns - like color, style, your part number vs the buyer’s reference number… you may need to add these columns to your view. Dashboard columns and ordering is customizable so that you can see the information that is most important to you.
How to Acknowledge a New Order
Acknowledging an order lets your buyer know that you are willing to fill the order for the requested item. You have the flexibility to request a change to the cost, quantity or due/shipping dates during this action. This allows you and your buyer to reach an agreement at the beginning instead of working through last minute changes. You will receive an email update, and the PO line will also appear in the updates and late tabs for any order where the buyer proposed due date is in the past.
How to See an Update from Your Buyer
When a buyer initiates a change to a PO Line you will receive an email. This email will request that you update the order line. The PO line will also move to your updates tab in tasks and in the PO dashboard. You will need to log into SourceDay to either accept the change or propose different values that you can accommodate.
How to Ship an Order
Shipping an item is typically done from the all open, radar or late tabs. When shipping, you can ship line by line or in bulk under 1 ASN. Depending on your buyer, you may be asked for information about the carrier or tracking number - these are buyer specific settings. At a SourceDay level you will always need to be able to provide the quantity of boxes being shipped and the number of items in each of the boxes.
How to Print POs
While we want to save trees, we understand that it can be helpful to print a PO every now and then. From the main PO dashboard view - click on the PO number for the line you are looking at. This will take you to the PO detail view where you can see all lines for the PO and their status. On the right hand side of the screen you will see 2 buttons - one to Print the PO report and one to create an excel of the PO data.
