Shipments in SourceDay allow you to create an advanced shipping notice and provide shipping details for purchase order (PO) lines and communicate shipment status to your buyers.
Your buyer controls how shipments are configured. Depending on their setup, you may see different shipment actions and statuses in SourceDay. This article explains what you will see and what you are expected to do.
What is a shipment?
A shipment is created when you provide shipping details for a PO line. This includes information such as:
- Carrier and tracking details
- Ship date
- Packaging details, such as box quantity and quantity per box
Once submitted, the shipment becomes visible to your buyer and is stored in the shipments dashboard.
What you are responsible for
As a supplier, your role is to:
- Provide accurate shipment details
- Update shipment information if changes occur
- Communicate shipment status to your buyer through SourceDay
The specific actions you take and details you share depend on how your buyer has configured shipments.
How shipment workflows are configured
Shipment workflows are set by your buyer. You do not need to choose a workflow, but you will see different options depending on their configuration.
Your available actions determine what is expected of you.
How to tell what workflow you are in
You can identify your workflow based on the actions available to you:
If you see Mark shipped or Create ASN → you are expected to enter full shipment details, including carrier and tracking
If you see Ready to ship (under More Actions)→ you are expected to prepare items and provide basic packaging details, while the buyer completes shipment information
If you are unsure which workflow applies, contact your buyer for clarification.
If both options are greyed out and not available you may need to first acknowledge the pending order using the Accept/Propose action next to Create ASN.
What happens after you submit a shipment
Once you submit a shipment:
- The shipment becomes visible to you and your buyer in the shipments dashboard
- The status updates to shipped or ready to ship
- The buyer may review or complete shipment details depending on their workflow
- Shipment data may be sent to the buyer’s ERP system
Submitting a shipment does not prevent you from physically shipping goods. It only creates an advanced shipping notice in SourceDay.
Where to manage shipments
Once an order is marked as shipped or ready all shipment activity is then managed in the shipments dashboard. From there, you can:
- Update shipment details
- Track shipment status
- Print packing slips and shipping labels
