Imports allow you to update hundreds of purchase order (PO) lines at once using a single file.
This is the fastest way to:
- Confirm orders
- Propose changes (including splits and cancellations)
- Create shipments (ASNs)
While setup takes a few minutes, imports can save significant time when managing large volumes of orders.
When to use imports
Use imports when:
- You are updating many PO lines at once
- You regularly send updates from Excel or another system
- You want to avoid updating orders one line at a time
You can import up to 500 PO lines in a single file.
How imports work
Imports follow a guided 4-step process in SourceDay:
- Upload your file
- Match your columns to SourceDay fields
- Review and fix any errors
- Submit the import
SourceDay will guide you through each step and highlight any issues before processing.
Step 1: start with your template
Download your companies unique SourceDay import template from the PO dashboard or shipments page.
- Do not change the header row
- You can reuse this file for future imports
Step 2: add your PO updates
In the template, enter:
- PO number, line, and release (required)
- Any updates you want to make, such as:
- Dates
- Quantities
- Shipment details
You only need to fill in the columns relevant to your update.
Step 3: upload and match columns
Upload your file in SourceDay.
- Columns may automatically match if you used the template
- If not, you can manually map them
You will see a preview of your data to confirm accuracy.
Step 4: review and fix errors
Before submitting:
- SourceDay highlights any errors
- You can fix issues directly in the system
- You can choose to exclude rows if needed
Step 5: submit your import
Once all issues are resolved:
- Submit the file
- SourceDay updates your PO lines
- Buyers can see your updates immediately
