You can share shipment details with your buyer in SourceDay from several places, depending on how you are working. This article explains how to submit shipment information and what to expect after you do.
What you are doing when you share shipment details
When you submit shipment information, you are either:
- Creating Advanced Shipping Notices when marking items as shipped and providing full shipment details
- Indicating that items are ready to ship and providing packaging details
Your buyer determines which option is available to you.
Step 1: Identify your available action
Before submitting shipment details, check the action available to you:
- If you see Mark shipped / Create ASN → enter full shipment details, including carrier and tracking
- If you see Ready to ship → enter packaging details only, the buyer arranges the rest
The steps below apply to both actions.
Step 2: Share shipping details
You can submit shipment details in three ways:
- From the PO Dashboard
- From email workflow
- Through bulk import of excel/csv file
From the PO Dashboard
This is the most common method and allows you to update multiple lines at once.
- Select one or more PO lines
- If these lines have the same ship to address they will be grouped together under the same ASN number.
- You can work across multiple POs
- Click Create ASN or Ready to ship from the actions in the top right of the PO Dashboard
- Enter the required details
- Submit
Shipping details apply to all the selected PO Lines and are available when using the Mark shipped / Create ASN workflow. You can also provide additional documentation.
Note: Shipping details nor Add attachments are not available if you are using Ready to Ship.
PO line details allow you to indicate how the order has been packaged. You can also leave this as the default of 1 box and the full order quantity in the box quantity.
To add additional shipment lines or handling units click on the +Add handling unit at the bottom.
From email workflow
- Open the PO from SourceDay or your email
- Select the line(s)
- Click / Create ASN or Ready to ship
- Enter shipment details.
- To add additional shipment lines / handling units click on the green box + Add Line (Mark as shipped only)
This method is useful when responding directly to a PO update.
What happens after you submit
After submitting shipment details:
- The shipment becomes visible to your buyer
- The status updates to shipped or ready to ship
- The buyer may review or complete shipment details depending on their workflow
- Shipment data may be sent to the buyer’s system
Submitting shipment details does not prevent you from physically shipping goods. It only updates shipment information in SourceDay.
Edit or update shipment details
After submitting, you may be able to:
- Edit shipment details
- Unship (delete) a shipment and recreate it
Your available options depend on your buyer’s configuration.
Tips for submitting shipment details
- Provide accurate carrier and tracking information when available
- Enter the actual date of shipment (past or future dates are accepted)
- Ensure quantities and packaging details are correct
- Use bulk actions from the PO dashboard to save time
