The Requests dashboard is your starting point for managing requests for quote (RFQs) in SourceDay.
Use the dashboard to create requests, monitor deadlines and supplier participation, find requests that need attention, and open an RFQ to review its details.
What you can do from the dashboard
From the Requests dashboard, you can:
- Create a new RFQ
- Open an existing request
- Monitor request deadlines
- See the current status of each RFQ
- Track supplier participation and submitted bids
- Search for a specific request
- Filter requests by status
- Sort requests to focus on the work that matters most
Understand the dashboard
Each row represents one RFQ.
The dashboard provides key information about the request, which may include:
- Title – The name assigned to the RFQ
- Status – The request’s current stage
- Deadline – The date and time supplier bidding closes
- Time left – The time remaining before the deadline
- Items – The number of items included in the request
- Documents – The number of documents attached to the request
- Supplier activity – Information about invited suppliers and submitted bids
Click the RFQ title to open the request and review its items, suppliers, documents, questions, submissions, and activity.
Understand RFQ statuses
The status tells you where the RFQ is in its lifecycle and which actions may be available.
Draft
The RFQ has been created but has not been published.
Suppliers cannot see a draft request. Open the RFQ to add contacts, items, documents, FAQs, or questions. When the request is complete, review and publish it.
Published
The RFQ has been sent to the selected supplier contacts and is open for bidding.
Monitor supplier participation and the time remaining before the deadline. Depending on the request, you may also be able to add contacts, extend the deadline, or revise item information.
Published (Pending Updates)
You have started revising the items in a published RFQ, but the changes have not been sent to suppliers.
Suppliers continue to see the previously published information until you submit the revision. Open the RFQ to complete or cancel the pending changes.
Awarded
The RFQ or its items have been awarded to one or more suppliers.
Open the request to review the selected bids and award history.
Retracted
The RFQ has been retracted and is no longer active.
Suppliers can no longer submit bids to the request. Open the RFQ to review its history and determine whether you need to create or publish another request.
Closed and revised
The original RFQ was closed and a revised request was created.
Open the request to review the original RFQ or navigate to the newer version.
Expired
The RFQ reached its response deadline.
Suppliers can no longer submit bids unless the request is reopened or the deadline is extended, when those options are available. Open the RFQ to review submitted bids and determine the next step.
Search for an RFQ
Use search when you know which request you need but do not want to scan the full dashboard.
- Go to Requests.
- Enter the RFQ title or another identifying keyword in the search field.
- Review the matching requests.
- Click the RFQ title to open it.
Use clear, consistent RFQ titles to make requests easier to find.
For example:
Project or product | Item group | Response deadline
Filter requests by status
Use status filters to focus the dashboard on requests at a particular stage.
- Find the status filters on the left side of the Requests dashboard.
- Select the status you want to view.
- Review the matching requests.
- Clear or change the filter to return to a broader view.
A status may not appear as a filter when there are no requests currently in that status.
Common ways to use filters include:
- Select Draft to find requests that still need to be completed.
- Select Published to monitor active sourcing events.
- Select Expired to find requests ready for bid review.
- Select Awarded to review completed sourcing decisions.
- Select Retracted or Closed and revised to locate request history.
Under Buyers you can filter the dashboard to view all RFQs by the selected buyer.
Project Folders allow you to see all RFQs associated with specific projects.
Sort the dashboard
Use the dashboard columns to change the order in which requests appear.
For example, you may want to sort by:
- Deadline to find requests closing soon
- Time left to prioritize active requests
- Status to group requests by lifecycle stage
- Title to locate requests alphabetically
Select the appropriate column heading to sort the available requests. Select it again to reverse the order, when available.
Choose what to work on next
Use the request status and deadline to decide where to begin:
- Draft: Complete and publish the RFQ.
- Published: Monitor supplier participation and approaching deadlines.
- Published (Pending Updates): Finish or cancel the item revision.
- Expired: Review and compare the bids received.
- Awarded: Review the award results or request history.
- Retracted or closed: Confirm whether another RFQ needs to be created.
Open a request
Click the RFQ title whenever you need to work with the full request.
Depending on its status, you may be able to:
- Edit request details
- Add supplier contacts
- Add or revise items
- Upload documents
- Add FAQs or questions
- Publish the RFQ
- Extend the deadline
- Review supplier submissions
- Compare bids
- Award or reject bids
- Review request history
What happens next?
The Requests dashboard updates as the RFQ moves from draft through publication, supplier bidding, and award.
Return to the dashboard to monitor active requests, find work that needs attention, and open the next RFQ you need to manage.
