Key terms defined
| Draft | The workflow exists but is not running. You can review & edit the logic and conditions but it won’t take action. |
| Staged | The workflow simulates automation in a safe preview mode. You’ll see which POs would have been automated, without any real changes. |
| Active | The workflow is taking the intended action automatically. Suggested workflows cannot be set to Active unless your company has purchased a custom automation package. |
Suggested workflows
SourceDay helps you know where to start with Custom Automations by provided you with a quick impact of suggested workflows. When launching the workflow builder you can see how often your team has taken the automation action.
Here are the suggested workflows currently available to all customers:
Auto-Accept Date Changes (Due Soon)
Accepts supplier-proposed date changes when the due date is within 10 days, provided cost and quantity remain the same.
Auto-Accept Move Outs (≤ 7 Days)
Accepts supplier-proposed delivery moves out by 7 days or less, if cost and quantity remain unchanged.
Auto-Accept Move Ins (≤ 14 Days)
Accepts supplier-proposed delivery moves in by 14 days or less, if cost and quantity remain unchanged.
Auto-Accept Price Decreases
Accepts supplier-proposed price decreases when the quantity is the same.
Auto-Accept Minor Price Increases
Accepts supplier-proposed price increases that are <5% and <$200 (or equivalent currency), when the quantity is the same.
How to stage suggested workflows
Select the desired workflow under Custom workflows. Then click on the ellipsis button on the far right a workflow to review its event triggers, refinements, and actions.
Change the workflow status from Draft to Staged.
Monitor results:
Staged workflows will appear in workflow reporting.
You’ll see how many POs would have been automated.
