Many buyers use multi-stage production or fulfillment processes to manage their orders. Milestones help buyers and suppliers stay aligned by showing where each purchase order (PO) currently sits in the production workflow, such as fabrication, inspection, packaging, or shipment.
Milestones give suppliers a simple way to communicate progress back to the buyer. Updating milestones helps:
Set clear expectations for order readiness
Identify risks or delays early
Improve communication with buyers
Ensure both parties are aligned on next steps
By keeping milestones up to date, suppliers help buyers plan more accurately and maintain strong on-time delivery performance.
How milestones work for suppliers
Milestones represent key stages in the buyer’s production or fulfillment workflow. Each supplier can select from the milestone list created and managed by the buyer.
Buyer-defined milestone lists
Each Buyer company controls which milestones are available. As a supplier, you can:
View the full list of milestones
Select the milestone that best reflects the current status of a PO line
You cannot add, rename, or change milestones. This ensures consistency across all suppliers working with the same buyer.
One active milestone per PO line
Each PO line can only have one active milestone at a time. When you update a milestone, it automatically replaces the previous one. All changes are saved in the PO’s history for future reference.
Update PO milestones
Suppliers can update milestones from multiple places within SourceDay:
PO Dashboard
Select the lines you need to update and then select "Add milestone" from the top right action buttons.
Interactive PO Page
From the email link to the interactive PO page, you can click on the "More Actions" then select "Add milestone"
Bulk Imports
Download a new import template or add two columns to the right of the header list for: Milestones and Milestones Message.
Update Milestone
Select the milestone from the drop down menu to apply to all the PO lines selected and add an optional message. Note: milestones are unique to buyer companies. If you collaborate with multiple buyer companies the available milestones will be limited by the buyer company.
Add an optional message
When updating a milestone, you can include a message to provide more detail—such as production progress, delays, or quality updates. These messages appear in the PO’s message history and help buyers understand the context of your update.

Suppliers can use dashboard tools to see milestone information at a glance.

Manage columns
You can add and reorder two new dashboard columns: Current Milestone & Milestone Days Aged. These fields make it easier to manage order progress across all POs.
Viewing milestone history
Whenever a milestone is updated, by either the supplier or the buyer, a new activity entry appears on the PO History page. This page shows when each milestone was added or removed, giving transparency into the full progress timeline.
