Partial shipments allow buyers to create multiple shipments (ASNs) for a single purchase order (PO) line by shipping quantities in stages.
This feature is used within the ready to ship workflow when items are fulfilled across multiple shipments instead of all at once.
When to use partial shipments
Use partial shipments when:
- Orders are shipped in multiple waves
- Items ship from different locations
- Only part of the order is ready to ship at a given time
This allows you to track shipped and remaining quantities without waiting for the full order to be completed.
How partial shipments work
- The supplier marks PO lines as ready to ship
- The buyer selects the PO line and creates a shipment
- The buyer enters the quantity to ship
- The remaining quantity stays in ready to ship
- Additional shipments can be created until the full quantity is shipped
Each shipment creates a separate ASN.
Create a partial shipment
- Go to Shipments
- Apply the Ready to Ship filter
- Select the PO line(s)
- Click Create ASN
- Enter the quantity you want to ship
- Edit or add additional shipping details as needed
- Click Create shipment
Quantity rules
- Quantity must be greater than 0
- Quantity cannot exceed the remaining Ready to Ship quantity
Create additional shipments
To ship the remaining quantity:
- Return to Ready to Ship
- Select the same PO line
- Click Create ASN
- Enter the next shipment quantity
- Click Create ASN
Repeat this process until the full quantity has been shipped.
How shipment status updates
- The PO line remains in Ready to Ship until the full quantity is shipped
- Once fully shipped, it moves to Shipped
- After all shipments are received, it moves to Completed
Example
A PO line has 100 units ready to ship:
- Ship 30 units → ASN #1 → 70 remaining
- Ship 50 units → ASN #2 → 20 remaining
- Ship 20 units → ASN #3 → 0 remaining
The PO remains in Ready to Ship until all 100 units are shipped. It then moves to Shipped, and finally to Completed once all shipments are received.
Important notes
- Each partial shipment creates a separate ASN
- Remaining quantity is automatically updated after each shipment
- Each ASN is received independently
What’s not included
The following are not part of this feature:
- Editing ship-to addresses during shipment
- Automatic supplier notifications
- New reporting or analytics
Impact on supplier performance
Partial shipments do not impact supplier scorecards.
Supplier performance is still measured based on the Ready to Ship date, regardless of how many shipments are created.
