This article explains when buyers receive email notifications related to supplier shipments (advanced shipping notices, or ASNs) in SourceDay.
When a supplier creates a shipment
Buyers receive an email notification when a supplier creates a shipment.
This includes:
- Full shipments
- Partial shipments
- Ready to ship
If a supplier ships a purchase order (PO) in multiple stages, buyers may receive notifications for each shipment activity.
How notifications are grouped
Shipment notifications are sent as part of a digest email.
- Multiple shipment updates for the same PO may be grouped into a single entry
- If shipments occur at different times, they may appear in separate digest emails
The digest reflects activity at the time it is sent, not a full daily summary.
Who receives the notification
Shipment notifications are sent to:
- The assigned buyer on the PO
- ERP planners assigned on the PO
- Users subscribed to the PO
Each user must also:
- Have an active SourceDay account
- Have notifications enabled for this action
What the email includes
Shipment notifications are included as part of the digest email and not as a stand alone message. Emails include a summary of activity at the PO level, such as:
- PO number
- Supplier name
- Extended cost
- Ship date
- A link to view details in SourceDay
Detailed shipment information, such as tracking numbers or packaging details, is not included in the email. To view full details, open the shipment in SourceDay.
When emails are sent
Shipment notifications are sent as a digest based on your notification settings:
- Hourly → default setting
- Daily
- Weekly
- Never
The fastest available option is hourly. Real-time notifications are not available for this action.
When a supplier edits a shipment
Buyers do not receive an email when a supplier edits an existing shipment. All changes are recorded in the shipment and PO history in SourceDay.
When a supplier removes a shipment
Buyers receive an email notification when a supplier removes (unships) a shipment.
This follows the same rules as shipment creation notifications:
- Same recipients
- Same digest timing
- Same email format
Troubleshooting missing notifications
If you are not receiving shipment emails, check:
- You are assigned to the PO, a planner, or subscribed
- Your notification setting is not set to Never
- Your account is active
- The shipment was created by a supplier (not a buyer)
- The digest has been sent
If needed, you can subscribe to the PO to receive updates.
Important notes
- Notifications are based on activity at the PO level
- Multiple shipments for the same PO may be grouped
- Email notifications provide a summary only—full details are available in SourceDay
